Why a Good Adjustable Bed Base RFQ Starts Before the Price Request
A request for quotation (RFQ) should tell the supplier what to quote and which assumptions need confirmation. “Queen adjustable bed base, dual motor, send best price” leaves too much open for a reliable B2B comparison. A nominal size and motor count do not identify finished dimensions, the motion system or the complete product.
Frame structure, actuator configuration, controller, remote, presets, massage, USB, lighting, upholstery, leg setup, mattress retainer and accessories can vary. Packaging, private label, documentation and destination-market requirements also change the work included. The phrase “dual motor” does not by itself define performance, controls or serviceability.
Two suppliers can respond to the same short RFQ with materially different products. Use a shared specification and ask each supplier to mark any exceptions before comparing quotations.
Adjustable Bed Base RFQ Preparation Checklist
Use this checklist to separate what your team must define from what the supplier must confirm. Mark an unknown requirement as “to be reviewed” rather than allowing it to become an unstated quotation assumption.
Scroll horizontally where needed to review all three columns.
| RFQ Area | Buyer Should Provide | Supplier Should Confirm |
|---|---|---|
| Target Market & Channel | Country or region, buyer type and retail, distribution, furniture, mattress-brand or project channel. | Suitability of the offered configuration and the documentation scope for that market and use. |
| Size | Required market size; finished dimensions and split-system requirements where relevant. | Exact offered dimensions and the model/configuration to which they apply. |
| Product Positioning | Entry, mid-range or premium target; the feature level the customer needs. | A recommended configuration with identified components and functions, not just a “premium” label. |
| Motion & Functions | Required head/foot motion, presets, massage, USB, lighting or smart functions. | Exact included functions, control architecture and any excluded options. |
| Motors & Controls | Known performance, control and service requirements. | Motor, controller, power supply and remote specifications, including part/version identifiers. |
| Mattress | Size, construction, thickness and finished weight where available. | Compatibility assumptions, limitations and validation needed for the intended mattress. |
| Installation / Furniture | Freestanding, platform, storage-bed or decorative-frame setup; zero-clearance needs where relevant. | Installation method, support requirements, static and moving clearance, and service access. |
| Weight Capacity | Intended complete-system use and load requirement. | Capacity definition, applicable size/configuration and supporting validation basis. |
| OEM / Private Label | Logo, upholstery, labels, manuals, carton artwork and feature changes. | What is standard, configurable or subject to engineering/tooling review. |
| Compliance / Documentation | Destination market, intended use and buyer documentation requirements. | Documents applicable to the final configuration and any scope requiring further review. |
| Quantity | Sample quantity, trial order and estimated production volume. | MOQ for the selected configuration and how customization affects it. |
| Timeline | Target sample date, launch and delivery window. | Sample timing, approval dependencies and production schedule for the selected configuration. |

Preparing an Adjustable Bed Base RFQ?
Share your market, size, configuration, quantity and private-label requirements so the project can be reviewed against a clearer quotation basis.

What Product Questions Should Buyers Ask Before Quotation?
Ask for the exact model or platform, specification revision, quoted sizes and finished dimensions. Then confirm what the offered configuration includes:
- Head and foot motion, selected presets and the associated controls
- Motor, actuator, controller, power supply and remote specifications
- Massage, USB, lighting or smart functions, if required and available on that platform
- Leg options, mattress retainer, upholstery, accessories and installation hardware
- Standard functions, optional functions and any exclusions from the quote
Feature names alone are insufficient: the quotation should identify the selected configuration. Not every model supports every option. Use the adjustable bed base product range to discuss suitable platforms, then record the choices in the RFQ.
Ask what the capacity figure covers
Does the stated capacity relate to static support or operation, and does it include the mattress and intended user load? Request the size, configuration, load conditions and validation basis behind the figure. The B2B weight-capacity guide explains why figures with different definitions cannot be compared directly.
What Compatibility Information Should the Buyer Provide?
Describe the intended mattress: size, finished weight where known, thickness, construction such as foam, hybrid or spring, and its approximate flexibility. Ask what needs sample validation instead of assuming that a mattress category proves compatibility.
Describe the surrounding furniture or frame, internal dimensions, support arrangement, moving clearance and service access. A freestanding base, a decorative frame and a platform or storage bed are different installation briefs. Confirm the intended use of legs and whether the selected base is designed for the proposed support arrangement.
Review the mattress compatibility guide and platform-bed and bed-frame fit checks. If the installation needs zero-clearance capability, request confirmation for that specific configuration; do not assume all bases support it.
What Should Buyers Ask About Manufacturing, QC and Documentation?
Keep the RFQ questions focused on responsibilities and evidence for the quoted product:
- Who is the contracting entity, and who produces or assembles the base?
- Which relevant processes are in-house or outsourced, and who owns QC at each stage?
- How are motors, controls and other critical components identified and traced?
- How are substitutions and specification changes approved?
- Which inspections are available, and what acceptance criteria will apply?
- How will the approved sample and specification become the production reference?
- Which documents apply to the final configuration, intended use and destination market?
Request a QC checklist, component identifiers, relevant drawings, inspection criteria and applicable documentation rather than a general certificate list. The manufacturer and sourcing-partner evaluation guide provides the fuller supplier-verification framework.
Before authorizing production, close the RFQ’s unresolved assumptions through sample review. The OEM sampling and approval guide covers structure, movement, controls, packaging and the reference that production should reproduce.
Why Price, MOQ and Lead Time Should Be Compared on the Same Basis
A lower quotation does not necessarily mean a lower cost for the same product. Motor/controller selection, functions, frame structure, upholstery, accessories, packaging, documents, branding, quantity and service scope can all differ.
For example, Supplier A may quote a standard control system and export carton, while Supplier B quotes additional functions and channel-specific packaging. Different prices can reflect different configurations, not a supplier quality ranking. Ask both to quote the same brief or list their exceptions.
Confirm MOQ and sample/production lead time after the configuration and customization scope are defined. Separate sample preparation, approval work, production and delivery planning; the target arrival date should not be mistaken for the production lead time.
Why Two Adjustable Bed Base Quotations May Not Be Comparable
Illustrative comparison — not actual supplier quotations. The following examples show the questions to resolve before treating two prices as like-for-like. Neither quotation is presented as the better option.
Scroll horizontally to compare all four columns.
| Comparison Area | Quote A | Quote B | What the Buyer Must Normalize |
|---|---|---|---|
| Motor / control configuration | A specified motor/controller set with identified versions. | An alternative set with different remote or controller functions. | Component specifications, version identifiers and replacement strategy. |
| Functions | Head/foot motion with selected presets. | Head/foot motion with massage, lighting or other options. | The same included functions and control architecture. |
| Weight-capacity definition | A figure stated for a defined load condition. | A figure without the same load condition or configuration reference. | Load definition, size, test conditions and validation basis. |
| Mattress / furniture assumptions | Freestanding use with a specified mattress. | Installation inside a decorative or storage frame. | The same mattress, support arrangement, installation and clearance checks. |
| Upholstery | Standard covering and finish. | A selected fabric or customized finish. | Fabric, finish, appearance approval and customization scope. |
| Private-label scope | Logo label only. | Labels, manuals, remote artwork or carton branding. | The exact branding deliverables and approval responsibilities. |
| Packaging | A standard export carton. | Packaging tailored to a delivery channel. | Packing method, protection, accessories and channel requirements. |
| Documentation | Documents for an existing configuration. | Additional review for a changed configuration or destination. | Applicable documents, model references, review work and exclusions. |
| Spare parts / warranty | Parts supplied under specified claim terms. | A different stock, service or replacement arrangement. | Coverage, exclusions, parts identification, availability and claim responsibilities. |
| Commercial basis | A quotation for a stated quantity and delivery basis. | A different quantity, currency, delivery or payment basis. | Quantity, currency, delivery scope, payment terms and validity. |
A useful like-for-like comparison aligns configuration, quantity, packaging, documentation and commercial basis. This is a practical buyer checklist, not a formal industry equation. Before comparing price, normalize the specification.

What Should Buyers Ask About Warranty and Replacement Parts?
Identify who owns the warranty responsibility in the supplier relationship and who will serve the buyer’s market. Ask for coverage, exclusions, claim evidence, troubleshooting steps and the replacement process in writing.
- Which remote, control box, power supply and motor identifiers apply to this configuration?
- What spare parts can be supplied, through which process and under which commercial terms?
- What documentation and evidence are needed to diagnose an issue or approve a claim?
- Who coordinates parts, shipping and any local service responsibilities?
Do not assume that visually similar components are interchangeable. Use the replacement-parts planning guide and B2B warranty responsibility guide to define the service scope before the quote is finalized. Warranty periods and coverage must be confirmed for the selected program.
What Logistics Information Belongs in an Adjustable Bed RFQ?
Provide the destination, expected quantity, channel, warehousing or retail environment, direct-delivery needs and required delivery window. E-commerce handling may require a different packaging review from a warehouse-to-retailer route.
Ask the supplier to confirm carton dimensions, gross/net weight where applicable, packing method, accessories included, loading approach, estimated production timing and the shipping/export scope. Request packing and loading information for the selected model; do not apply a generic container quantity to another configuration.
State any requested Incoterm, currency or payment discussion explicitly, and ask what the quote includes and excludes. These are project terms to agree, not assumed KFY defaults.
What Should Private-Label Buyers Confirm Before Quotation?
Separate a standard option from a configurable option and an engineering change. An available fabric or leg option is not the same task as revising a structure, control system or tool.
- Branding, upholstery, labels, manuals and required language versions
- Remote face or function layout, where configurable on the selected platform
- Packaging, carton artwork, accessories and the selected feature configuration
- Engineering/tooling review, sample approval and artwork sign-off responsibilities
Ask which changes are included, which require separate review and which affect MOQ, schedule, documents or sample validation. Every customization request should have an approval owner; no assumption should imply that every KFY model supports every change.
The 10 Most Important Questions Before Requesting a Quote
- What exact model and configuration are you quoting?
- Which size and finished dimensions does the quote apply to?
- Which motors, controls and functions are included?
- What does the stated weight-capacity figure mean for this configuration?
- What mattress and installation assumptions should we validate?
- What OEM/private-label changes are included or excluded?
- What documentation is available for the final configuration and destination market?
- What are the MOQ and sample/production timelines for this exact configuration?
- How are warranty, spare parts and quality claims handled?
- What packaging, commercial and delivery scope is included in the quotation?
